Microsoft Word is a powerful word processor that comes with many features. One is to include citations and a bibliography to give weight to your work and value the sources you read and drew inspiration from during your research. So how do you find, add and edit citations and bibliography in Word?
Word is versatile and allows you to add citations in many commonly used formats such as APA, MLA, Chicago-Style, GOST, IEEE, and ISO.
The steps are easy and the process is streamlined. We are subscribed to the Microsoft 365 plan and will be using Microsoft Word installed on Windows 10. However, the steps should be fairly similar for other existing versions of Word.
Let’s start.
How to Add, Find and Edit Citations in Word
Let’s start with adding and editing citations in Word.
Stage 1: Open the Word document and click where you want to insert the quote.
Step 2: Under the References tab, click the arrow next to Style to select a citation style. The default is set to APA.

Stage 3: Click Add Citation just before the Style option to select Add New Source. If you want to create a placeholder and add the citation details later, select Add New Placeholder. A popup will appear to give the placeholder a name.

Step 4: You should see the Create Resource popup. Type of resource, author’s name, city, publisher, etc. Add relevant details such as Click OK to save the quote.

Stage 3: Click Add Citation just before the Style option to select Add New Source. Then select Add New Placeholder if you want to create a placeholder and add the citation details later. A popup will appear to give the placeholder a name.
Step 4: You should see the Create Resource popup. Type of resource, author’s name, city, publisher, etc. Add relevant details such as Click OK to save the quote.

Once a citation is created, you may want to find and edit it in the future to correct an error or add more information.
Stage 1: Click Manage Resources under the References tab.

Step 2: In the following popup you will find a list of all the citations created in the Word document with a preview at the bottom. Select the excerpt you want to edit and click the Edit button. You can also sort citations by author, tag, title, and year using the drop-down menu next to the Search bar, which is another convenient way to quickly search for citations.

Stage 3: Make changes to the excerpt as needed in the pop-up window and click OK to save the changes.

Step 4: Click ‘Show All Bibliography Fields’ to add more information about the cited source.

How to Add, Find, and Edit Bibliography in Word
After you finish drafting your document, you can add a bibliography to list all your sources at the bottom. To keep the document clean, easy to read and reference, we recommend creating a new page for the bibliography.
Stage 1: Click the Bibliography button under the References tab. Click Add Bibliography from the drop-down menu to add and format a bibliography from scratch, or choose one of the templates to automatically generate it. We will choose the first option that is built-in.

Step 2: Where you place the cursor under the Bibliography heading, a bibliography with all citations will be inserted. In our case we have two quotes.

And that’s it.
Now, if you add more citations later, the bibliography will not be updated. To manually update the bibliography, select the bibliography and click the ‘Update Citations and Bibliography’ button which should appear just above it.

Don’t like how the bibliography looks and reads? You can easily choose a different format. Select the bibliography and click the arrow button next to the book icon to choose a different format.

Did you know that you can add a source to a Word document and use it in another Word document? You don’t need to do anything extra. Word automatically saves all the sources you add as citations in a main list called the ‘Main Source List’.
Again, click on the Manage Resources button under the References tab to find all the resources you’ve added so far. We have already seen above how you can edit and manage resources here.

Now, the resources are listed under the Master List on the left. Select the resource you want to add and click the Copy button to copy it to the Current List on the right. You will need to do this for each resource you want to add to the current document.

You can now add this source from the Add Citation menu under the References tab.

So where are these resources or master list saved? And why do you care? If you have bought a new computer, it may be useful for you. You will find the main list. source.xml In the following location in File Explorer. Replace ‘username’ with your computer name.
C:\Users\username\AppData\Roaming\Microsoft\Bibliography

Simply copy the file and paste it in the same location on the new computer.
