14 Best Microsoft To-Do Tips to Use Android Like a Pro

I have been using note-taking apps for task management for a long time. But until I moved to task management apps, none of them fit my requirements. While there are many apps available in the Play Store, I love the Microsoft To-Do app. This is because it combines incredible features.

If you are a newbie to this app or have been using it for a while, we will show you its best features. In other words, you will learn how to use the Microsoft To-Do Android app like a pro.

Lets start.

1. Change List Order

The Microsoft To-Do app displays the list in the order in which it was created. The newly created list will be available at the bottom. However, this is not permanent as you can rearrange the lists.

To do this, follow these steps:

Stage 1: Open the Microsoft To-Do app and tap the three-bar icon in the upper-left corner.

step 2: You will find all your lists here. Tap and hold the list name and drag to change its position.

2. Change List Icon

By default, all lists have the same icon. It is a well-known fact that images or icons are easier to recognize than text. You can change their icons to quickly distinguish lists.

Here’s how to do it.

Stage 1: Open the list whose icon you want to change from the navigation drawer.

step 2: Once in the list, tap on the three-dot icon in the upper right corner and select Rename list from the menu.

Stage 3: Tap the emoji icon on the left from the drop-down menu. You will get several icons. Choose the one you like and click the Save button.

3. Add Emoji as List Icon

If you don’t like the default emoji set offered as icons, you can also add any emoji you want. When you tap on the Rename list option, simply add an emoji from your keyboard before the list name and hit the Save button. The app will treat it as a list icon. This only works if you haven’t set an icon yet.

However, if you have already set an icon from the emojis offered, tap the same emoji icon again in the drop-down menu and hit Remove Emoji. After removing it, you can manually add an emoji before the list name as mentioned above.

4. Change List Theme

The Microsoft To-Do app lets you set a different theme for each list. It also offers the ability to change the theme or the listing display.

Here’s how to do it.

Stage 1: Open the list and tap the three-dot icon in the upper right corner. Select Change theme from the menu.

Step 2: You will get two rows at the bottom. One for color, the other for image. Adjust them to your liking.

5. Ranking Missions

While Microsoft does not provide a sorting option for lists, it does provide an option for tasks. In a list, you can sort your tasks alphabetically, by various parameters such as creation date, due date. Again, this feature is available separately for each list.

To sort the tasks in a list, open the list and press the three-dot icon then tap Sort. Then select the sorting mode.

6. Add to Important

Along with smart lists like My Day and Scheduled, the Microsoft To-Do app lets you manually mark tasks as important. These will appear in a separate list known as Important.

Tap the Star icon next to each task to add tasks to this list.

7. Add Sublist and Notes

I use the Microsoft To-Do app and what I love about it is that it lets me create subtasks. Known as steps, you can add them below each task. You can also add notes to each task in a list.

Tap the task below a list to add subtasks. Then tap on Add step. Similarly, add your notes under the Add notes section.

8. Add Deadline and Reminders

Microsoft To-Do comes with great features like reminders, deadlines, and recurring tasks to boost your productivity. You can use the Repeat option to remind you of certain tasks you do daily. If you have a habit of forgetting things, you can set all three.

To do this, open a list and tap the task. Then tap on the relevant options to set them up.

9. Hide Completed Tasks

When you complete the tasks, you can keep them visible or hide them. Hiding them makes it easier to see unfinished tasks.

Note:

To hide completed tasks, open the list and tap the three-dot icon. Then select Hide completed tasks.

10. Add Tasks from Notification Bar

The usual way to add tasks is to launch the application and then add tasks. The usual way is cumbersome when you want to add a task quickly.

Fortunately, you can create tasks directly from the notification bar. To do this, you must first enable it in Settings.

Here are the steps:

Stage 1: Tap the three-bar icon in the top left corner and tap your account name at the top from the navigation drawer. This will take you to Settings.

step 2: Scroll down and enable Quick add notification. After enabling it, open the notification panel. You’ll find the Microsoft To-Do tab here. Tap this to quickly create tasks.

11. Disable Completion Sound

When you complete a mission, you get the mission completion sound. It may be distracting for others and you can disable it in the app Settings. For that, turn off the turn on completion sound toggle.

12. Change Theme

Google takes quite some time to provide a dark theme for their apps. Meanwhile, Microsoft offers the dark theme for almost every app, including the To-Do app.

To change the theme, go to Microsoft To Do Settings by tapping your account name in the drawer. Then tap Theme and choose between Light or Dark.

13. Cooperation

One of the key features most people look for in a to-do app is the ability to collaborate. Fortunately, Microsoft To-Do lets you invite people to join your lists. Once they accept the invitation, they can view and modify all the tasks of that list.

To invite others, open the list and tap the Collaboration icon at the top. Then tap on Send invite link and share with relevant people.

14. Share Lists

Alternatively, you can share lists with others without adding them as collaborators. To do this, tap the three-dot icon in the list and select Send a copy. Then select the app you want to share and the app will share the text version of your list.
