Gmail is one of the most preferred email clients worldwide. Often times a person needs to email multiple people at the same time. While sending the same email to a group of people in Gmail can be a tedious task, there is a nifty trick that will make your job easier. If you regularly send emails to the same group, you can reduce wasted time by creating an email group in Gmail.
Emailing a group is more common in both our work and private lives. You can use groups for your project team at work and family members at home. Creating an email group for a distribution list in Gmail can save you a lot of time.
After you set up the group, you send it to email and communicate with several people in one message. If you’ve never done this before, we highly recommend setting them up in Gmail.
This post will show you how to create group email in Gmail using the default method. Lets start.
What is an Email Group?
An email group (contact group) is a collection of email IDs for sending emails frequently. When an administrator sends an email to an email group, all contacts in that group label receive the same email.
Use Google Contacts to Create a Gmail Group
Google Contacts is the best way to store contacts online as it works with any device you own. Majority use Google ID to store contacts. Contacts, a separate Google app, manages all the contacts you see and access in Gmail.
Here is a step-by-step guide on how to create a Gmail group for sending bulk emails.
Stage 1: Open Gmail on the web and sign in using Google account credentials.
Step 2: Click the Google Apps icon in the upper right corner.

Stage 3: Hover over the contact you want to add to the mailing list, and then click the checkbox to select it. Repeat for each person you want to add to the list.
Step 4: Make sure each person you add has an email associated with them. Otherwise, they won’t show up in the label when you email them later.
Step 5: After selecting each person, click the Tag icon and then click the Create tag button.

Step 6: Give the tag a relevant name and then click Save to create the contact list.

Note: This is classic Google stuff. They should rename the Tag to Group for less confusion among users.
You can create as many tags as you want in Google Contacts. Don’t forget to give them a relevant name like Family, Office, Business, Customers and more.
Send Email Using Email Group in Gmail
Now that you’ve created a labeled list, it’s time to send the email using Gmail. Follow the steps below to use labels in Gmail.
Stage 1: Open Gmail on the web.
Step 2: Tap the Create button in the upper left corner.

Stage 3: From the New Mail window, start typing the name you gave the label and then click the suggestion when it appears below the text field.
Step 4: Fill in the email after selecting the tag and then click the Send button to send it to everyone in the group list.

The action sends the full mail to everyone in the group.
Edit Email Group in Gmail
If you’ve recently expanded your family or office group with new members, you’ll want to add them to your Google Contacts group. Follow the steps below the edit email group.
Stage 1: Go to Google Contacts on the web.
Step 2: First, you must create a new contact with relevant details such as first/last name, mobile number and email.
Stage 3: You will see the newly added contact in the Google Contacts menu.

Step 4: Just select the contact and tap the Label menu at the top. Select the tag you want to add a contact to.
Step 5: Alternatively, you can drag and drop the contact onto the appropriate tag of the tag menu.

At any point, you can hover over the tag name and select edit to change the tag name. You can also tap the delete icon to remove the created group.
Gmail Group Limitations
Gmail groups might seem like an easy task to email a group of people at once. But the devil is in the details. There are some limitations with the Gmail group that you should be aware of.
- While you can easily send group emails in Gmail, creating an email group is time consuming. You also need to make sure you include the email ids of each person you want to add to that group.
- Email tracking is difficult. Let’s say you send an email to a group of people. Some responded while others did not. You will need to set up a separate email follow-up for each email address and manually send multiple emails.
- A Gmail group lacks personalization. You cannot customize your group emails for individual recipients. A general email doesn’t make a good impression compared to a detailed, personalized email.

Gmail’s mailing list or group email can be a great feature for many small and medium businesses. This feature allows you to reach as many people as you want without retyping or copy-pasting the same email. At an individual level, it streamlines the email process and saves you resources and time.
