Notion, a modular productivity app, is rapidly gaining popularity and its user base has quadrupled. The company had already made the app available for free for personal use (previously $5 per month). Notion’s unique approach to life organization and note-taking quickly gained them many fans.
Notion takes a minimalist approach everywhere. Unlike other apps, it does not throw every possible function to the user. The options are cleverly hidden in the interface so that it doesn’t look overwhelming. On the other hand, the complex UX of the software also brought them many criticisms.
If you want to take your Notion experience to the next level, find the best Notion tips to use it effectively.
1. Set Concept Password
When you try to login to your Notion account, Notion will share a temporary login code to your email address for you to login. This is the default behavior and I’m sure many of you won’t like it.
Notion allows you to set a password to login using email ID and create password normally. Open Notion app and go to Settings & Members > My Account and set Password.
2. Connect Third-Party Apps
As you know, Notion allows you to create Kanban cards just like Trello. You can use it as an alternative to Evernote. Notion lets you import Evernote notebooks, Trello boards, and Asana tasks directly into the software. This way, you don’t have to start from scratch in Notion.
Open Notion and go to Settings & Members > My Connected Apps and import data from third party apps.
3. Use Concept Reminders
Besides taking notes, Notion also advertises itself as a dedicated task manager. You can add a reminder to a blog to be notified of it. Type ‘/remind’ and add the date and time to receive the notification.
The screenshot above shows that I am using the weekly task management template to organize my week and add tasks to it with reminders.
4. View Page Updates
When you create a page from scratch, you go through dozens of changes to make a page look the way you want it to be. Notion tracks every change on a page. You can tap the updates option and go back in time to see the changes you made on the Notion page.
5. Share Idea Pages
Notion aims to replace Google Docs as well. And as expected, it offers the same if not better sharing capabilities in the software. After creating a page, you can share it with other Notion users from the top of the share menu.
Tap the Share button at the top, select add contact and add email id. You can also set view/edit permission for the user. You will see added users and even remove them from the same Share menu.
The free version of Notion allows you to invite up to 5 members to your workspace.
6. Use Custom Concept Icons
By default, Notion lets you choose an icon for each page from the emoji picker menu. But if you prefer to keep the minimalist look, you can copy the icons from the Icon Icons website.
Created by Notion fans, Notion VIP allows you to use amazing icon in software. Simply copy an icon and return to a Concept page. Click on the page emoji and go to Link > paste copied URL and you will see a new icon for the page.
7. Use Timeline View
This is a must-have for anyone managing projects at Notion. Notion’s Timeline format allows you to view database items along a linear timeline, such as a Gantt chart. It displays the array aesthetically and clearly while uncovering potential capacity issues. This makes it useful for presenting the tasks of a project or a series of events.
8. Lock a Concept Page
Notion does not offer the ability to password protect a page. Instead, you can lock a page to prevent accidental editing. You can turn on Page Lock from the three-dot menu and it will lock the page for further editing. Tap the Lock icon to unlock the page for editing.
9. Turn a Concept Page into a Website
