The user base of Microsoft Teams is growing rapidly. Many companies around the world are switching to Microsoft Teams to allow their teams to collaborate and discuss ideas, projects and more. Credit to Microsoft, new features for the app are falling fast. Apart from updating its video calling functions, Microsoft is also doing other tasks such as signing documents in the Teams app. This is very useful for quickly signing and sharing documents.
Microsoft leverages the Microsoft 365 suite and OneDrive integration to share and send files across channels.
In addition to sharing screens, you may also want to quickly sign and share some documents. You can download them, open a PDF editor or digital signature software, import the document, sign it, and then send it to Microsoft Teams. Or you can open the document directly in Microsoft Teams and sign it using the suggested methods below. There is no need for any additional software on PC or Mac to sign documents.
This post will guide you how to sign documents in Microsoft Teams using SignEasy and Zoho Sign. Lets start.
Sign Documents Using SignEasy in Microsoft Teams
SignEasy is special software for adding and adding digital signature. The company offers the app for Microsoft Teams. Follow the steps below to sign documents in Microsoft Teams.
Stage 1: Open Microsoft Teams and tap the three-dot menu in the sidebar.
Step 2: Tap on More apps from the menu below. This will open a dedicated app store for Microsoft Teams.

Stage 3: Search for SignEasy from the search bar in the upper left corner and select add to install the app in Microsoft Teams.
Step 4: After successful installation you will find the application in the sidebar.

Step 5: Tap SignEasy and create an account for the service.
Step 6: After successful registration, you will find the SignEasy tab in the application.
Step 7: You can drag and drop a file in SignEasy. Tap Import and add a file from the computer.
You can sign documents, add initials, date, text, checkmark and even add images to documents.

I like that SignEasy offers different options for signing documents. You can tap the Signature menu in the sidebar and present different types of marks with name, ability to draw signatures, option to load marks from computer or saved signatures.

I often choose a mark from the type menu and save it as the primary signature for future use.

After filling the required information, you can download the document to the device and share it among Microsoft Teams members. SignEasy offers a 14-day free trial and after that the paid plans start at $7 per month.
Sign Documents Using Zoho Sign in Microsoft Teams
Zoho Sign is a great alternative to SignEasy. If you use Zoho’s apps, you should consider using Zoho’s solution for signing documents in Microsoft Teams. Go through the steps below.
Stage 1: Open Microsoft Teams and go to the three-dot menu in the sidebar.
Step 2: Tap on more app options and open a dedicated app store for Microsoft Teams.

Stage 3: Search for Zoho Sign from the search bar in the upper left corner and select add to install the app in Microsoft Teams.

Step 4: After successful installation, open Zoho Sign app from the sidebar and login using Zoho credentials. If you are using it for the first time, sign up for the service.
Step 5: Upload the file or use the drag and drop feature to add documents to Zoho Sign.

Zoho opens the document in Microsoft Teams and you can choose from several options for editing the PDF. They include signature, initials, company details, email, text, job title, date using drag and drop feature from the sidebar.

To sign a document, select the signature function and insert it into the documents. You can choose from built-in signatures, draw your signature using the red/black/green pen, or load a signature from a PC. I found the built-in signatures more professional than SignEasy’s offerings.

Hit Save after you finish editing and it will save it in Zoho’s library. You can access them from the Documents menu. You can now share the signed document with team members in the Teams channel.

Sign Documents on the Go
