How to Use the Concept as a Planner

A digital planner can help you organize your tasks and also plan things ahead. Notion is rapidly climbing this popularity ladder as it replaces apps like Evernote, Trello, Google Calendar, OneNote, and more to help planners. Many users use Notion as a planner to organize their week or month. Read how to use Notion as a planner using templates and different project views.

There are several ways to use Notion as a scheduler. You can create one from scratch or choose a Notion template to meet your needs. In the example below, we will use some Notion templates to help you track tasks, habits, and plan a month. Lets start.

1. Use a To Do Template

Templates play a big role in the Notion ecosystem. By default, Notion comes with some built-in and third-party templates made by community members. Among them is an excellent template for managing tasks. Follow the steps below to add it to Notion.

Stage 1: Open the Notion app on your PC or Mac and create a workspace.

Step 2: Click ‘Add page’ in the left sidebar. and Notion will open a blank page for you.

Stage 3: Click on Templates from the blank Notion page, it will open the default Notion template gallery.

Step 4: You can find the To Do template under the Engineering section. Click the Import button to add it to your Notion page.

The to-do template is a kanban-style board similar to Trello but powerful with all the relevant functionality.

You can add related names to each board section. As for cards, just click on the default card and start adding details.

You can add information such as assigned user, status, priority, date, comments and more. You can use ‘Add property’ option and integrate mod fields like Email, Phone, URL, Formula, Relationship and more. The possibilities are endless here. How much information you want to pack in a card depends on your use case.

As you progress with a card, simply drag and drop the cards into a corresponding section.

2. Weekly Agenda Template

The above template is more suitable for managing small projects. Notion can also work as custom task manager. We will use the Weekly Agenda template for this. Go through the steps below.

Stage 1: Open Notion and create a workspace.

Step 2: Create a new page from the left sidebar and select templates from the blank Concept page.

Stage 3: You will find the Weekly Agenda template under the Design section. Import it to your Notion page.

Step 4: Start adding tasks to a weekday. You can add multiple tasks up to a specific day of the week.

As with any task management app, Notion offers a reminder function. You will need to use Notion commands for this.

Go to a task you want to be reminded of. Use the ‘/’ command and type remind. Notion will show a Date or reminder option. Click on it.

You can choose Today or Tomorrow. Select the relevant option and you will see it added to a task. Click on current date option to change due date and time, drop down menu will open to change date and time. You can also assign a Due date for long tasks.

Repeat the process for all tasks and you will eventually get a solid task management system in Notion.

3. Create a Calendar in Notion

Notion can also replace Google Calendar for you. It won’t have tight integration with other Google apps, but it works just fine for the average user. Here, we will not use a Notion template, but will choose the default function for creating a database.

Stage 1: Create a workspace from scratch in Notion.

Step 2: In Notion, under the Database option, select Calendar.

Stage 3: Notion will create a calendar view on the page.

Step 4: Click the + icon below any date and start adding entries.

Step 5: As for details, you can add title, date, tags and add features like Email, Phone and more.

We like to be able to simply drag and drop entries from one date to the next. But the real treasure lies behind the differing views. This is a feature that distinguishes Notion from other software on the market.

Simply click on Add view and you can choose from various views such as Timeline, Boards, Lists and Gallery. Among them, we prefer the Notion Timeline view as it is perfectly compatible with GT usage.
