Send Zoom Meeting Invitation from Google Calendar: A Step-by-Step Guide (2021)
While the G Suite add-on is the easiest way to add Zoom links to an event invitation, it’s also possible to manually add Zoom meeting links to Google Calendar. It takes a little more effort though. In this article, we’ll learn both ways to add Zoom meeting invitations to Google Calendar and send invitations to your colleagues and colleagues.

Method 1: Send Zoom Meeting Link Using G Suite Add-on
The integration between Zoom and G Suite works both ways. This means the invite link for any meeting you create in Zoom will be automatically added to your Google Calendar. Here’s how you can schedule a Zoom meeting and send invite links to attendees in Google Calendar:
- First, sign in to your Google account and “Zoom for GSuite” plugin (free) from the official G Suite marketplace.
note: If you’re using an enterprise account, you’ll need to contact your IT administrator for upload permissions. Also, the plugin requires a number of permissions, including full access to your entire contact list. If that bothers you, skip this method and check out Method 2, which requires no add-ons..
- Now open Google Calendar and look for the Zoom icon on the right side of the screen. Click on the icon and sign in to your Zoom account via the plugin.
- switch over “Pre-approval” option and follow the onscreen instructions to authorize the app to access your Google account data.
- Next, create a new Google Calendar event and click “Add Conference” field. Next, click the drop-down menu and select “Zoom Meeting” from the available options. Finally, “Save“At the bottom to save your preference.
- The plugin will now automatically fill in the Meeting ID, passphrase, and passphrase in the Calendar event. It will also show a link to join instructions that should help people unfamiliar with Zoom. You can now click on the newly created event in Google Calendar and click “Add Guest” field to invite attendees to the meeting. Finally, click the “envelope” icon to email invitations to guests.
Method 2: Manually Add Zoom Invite Link in Google Calendar
As we said before, you can add a Zoom meeting link to a Google Calendar event without the plugin. In fact, the plugin is a better option from a privacy standpoint, as it asks for loads of permissions, including full access to your entire contact list. Note, however, that the manual method does not automatically sync your meetings between Zoom and Calendar. If you can live with that, you can add a Zoom invite link to Google Calendar without using the plugin, like this:
- Open the Zoom client on your computer (or Android/iOS phone) and create a new meeting. Next, “Copy InvitationPress the ” button.
- Now sign in to Google in a web browser. Then open Google Calendar and add the Zoom invite link by manually pasting the meeting information in the “Notes” field at the bottom. Finally, “Save“. You can now add guests and send invites using the email link as described earlier.
- When attendees accept the invitation, the meeting link will appear in their Google Calendar and they can join by clicking the meeting link or the “Join Zoom Meeting” button.
