With virtual meetings becoming the norm now, video conferencing tools like Microsoft Teams are introducing new features to appear more user-friendly. For example, you can download meeting attendance in Meeting Teams to get a list of attendees.
Microsoft Teams currently offers three classroom virtual meetings, which include live events, webinars, and regular meetings. In the past, only live events provided attendance reports. Users can join the meeting for other meetings simply by taking a snapshot or manually counting the people attending a meeting. Users were not able to catch those who joined the meeting late or left early depending on the joining time.
The good news is that even if there is a catch, all these meetings now have the meeting join feature. To access this feature, you must be a meeting organizer or co-organizer and the administrator must enable it before the meeting. There are currently two ways to download meeting participation in Microsoft Teams.
Download Microsoft Teams Join During Meeting
If you want to receive your meeting attendance while your meeting is in progress, you can follow the steps below:
Stage 1: Join the meeting and wait for attendees to join.
Step 2: Under Meeting controls, click Show attendees.
Stage 3: Go to Attendees and click the three dots or down arrow.
Step 4: Click Download participant list, Microsoft Teams should download the list in .CSV format.
Step 5: Go to your Downloads folder in File Explorer and search for the filename of the AttendanceList meeting.
Step 6: Double-click on the file to open it. Usually, the file should include the name of the participants, their time of joining, followed by the leave period of each participant. If an attendee joins the meeting before the organizer, the attendance time must match the organizer’s attendance time.
Download Microsoft Teams Join After Meeting
Most people choose to attend after meeting for a variety of reasons. First, doing this during a meeting can be quite distracting. So you can wait until the meeting is over to collect the list.
Another reason is that you want to know who is left until the end of the meeting. Note that retrieving the meeting attendance report during the meeting only captures the information until you download the report. However, there are two ways you can join a meeting in Microsoft Teams after a meeting.
Get Meeting Attendance Using Meeting Invite
Before explaining the steps, you should note that if you schedule a meeting through a Channel, you won’t be able to use it. Check below steps to learn how to download meeting attendance via meeting invite:
A channel created in the Teams app is limited to channel members only.
Stage 1: Launch Microsoft Teams and click the Calendar icon.
Step 2: Click the meeting on your calendar.
Stage 3: Click the dropdown icon.
Step 4: Click the down-pointing arrow next to participation.
You can also download meeting attendance from the Attendance tab next to Meeting details. If the meeting is recurring, select the report you need to view and download.
Download Meeting Attendance Using Meeting Chat
After a meeting ends, joining the meeting is made available in the meeting chat. You can use this method if the channel was used to create a meeting. To download your meeting attendance, follow these steps:
Stage 1: Launch Microsoft Teams and click the Chat icon.
Step 2: For a meeting chat, navigate through your chats, or if the meeting was created from a channel, click Posts.
Stage 3: You should see a tile labeled Engagement report in the chat area. Click the down arrow next to this report to download your meeting attendance.
Mute Meeting Participants in Microsoft Teams
Microsoft Teams downloads the meeting report in .CSV format. Also, to access an attendance report, the meeting administrator must enable the feature before the meeting. If there is too much background noise coming from the participants during the meeting, you can mute them.
