Google Drive: how to share files with others
For the share itself, the option to do so is accessible from the contextual menu that appears. right click on a file or in a folder in Google Drive:
- Click Share then enter the Gmail address of the people who should have access to the file
- click the pencil icon to the right of the field to change control rights (you can authorize others to modify the document, add comments, or restrict them to read-only)
Enable or disable link sharing
All files in Google Drive have a share link. Right-click on the file in question, then click get share link. By default, only people who are granted access to a file can access its content using the link. It is also possible to provide public access by activating public sharing.
- click to the right of the file > Share > Advanced
- in the section Who has access?click To organise Right
- check option Active: general to allow anyone to view the file
Here’s what each option is:
Active – Public : The file can be indexed in search engines as well as being searchable by anyone with the link without the need to connect to a Google account.
Active – All users with the connection : the general character of the file is slightly more restricted. It is not indexed in search engines, but anyone with the link can access it without the need to log into their Google account.
Disabled – Certain Persons : You delete the public share by checking the Disabled option. Only people whose e-mail address you have given access rights will be able to view the file. Therefore, they will need to log into their Google account.
Remove access rights to a shared file
You have authorized several addresses to access a document, image or video and you want to make this data private again:
- Always right click on the file
- click To share then button Further at the bottom of the address entry field
- You have a list of people who have access to the shared file
- click cross on the right of each profile to withdraw access right.
Finally, Google Drive also allows those with the link and access rights to upload a shared file. Click the box to prevent downloads Disable commenters and readers from downloading, printing or copying this item. It’s under Sharing Settings (right click on file > Share > Advanced).
